Administrative Network Coordinator

Outline Job Brief

The Network Co-Ordinator is responsible for communication within the region, management and administration of the Africa network, its affiliates with specific emphasis on managing and running existing Africa clients as well as providing support on new business.

General description and duties:

Communication with the region:

  • Africa newsletter and updates: compiling and distributing email updates to the affiliates in Africa including the latest creative, strategic studies as well as sourcing and publishing of news from the affiliates.
  • Sourcing of information from affiliates including their credentials, rate cards, best practice and client list.
  • Key is a good understanding of the various online resources available, as well as creative and strategic assets and sharing these with the affiliates.
  • One of the priorities will be for the coordinator to develop an induction for new affiliates.
  • Maintenance and upkeep of the affiliate database including contact details as well as the various email group

Management and administration:

  • The network co-ordinator is responsible for keeping an up to date record of all legal agreements that is signed with each affiliate.
  • It's equally important that they are familiar with each of the agreements as they stipulate deliverables from a network perspective and outline the affiliate fees and commissions.
  • Each new affiliate requires being setup as a client and a vendor. In addition to this will be the development and implementation of an onboarding process for new affiliates.
  • The co-ordinator is also responsible for the issuing and billing of the annual affiliate fees.
  • The Clients credentials should be regularly updated in terms of markets, affiliate details and strategic and creative case studies.
  • Management and effective filing of the Africa server.
  • Weekly update and distribution of the Africa status as well as attendance and running of Africa status with traffic.
  • Management of Travel arrangements for team including liaison with travel agent. Includes flights, accommodation and forex.


  • Day to day liaison with all our Africa affiliates. You will be liaising from the most senior to junior individuals across cultures and languages.
  • Developing relationships with key people at each of our affiliates.
  • Assisting affiliates with any information requests with respect to The Client's properties, existing or new business.
  • Driving the Client within the affiliates through induction, knowledge sharing and frequent communication.

Existing clients:

  • Assistance with projects, jobs and status on regional accounts.
  • This will include typical AM/AE duties including briefing, presenting, status and management of jobs for regional accounts.

New business pitches

  • A regular requirement will be management and co-ordination of RFI's which will require liaison with the affiliates to source documentation, rates etc.
  • The co-ordination, consolidation and timeous submission of RFI's.
  • Participation in regional pitches including briefing, co-ordination as well as assistance with administration and presentations.
  • Assists proposal development and client presentations

Additional responsibilities:

  • Makes use of agency tools and systems to correctly communicate all necessary information (e.g. creative briefs team and client templates etc)
  • Monitors the progress of work and producing status reports, and contact reports. Keeps abreast of timelines and provides timeous feedback to reporting lines as well as affiliate contacts.
  • Gains a full understanding of agency's offerings, mission and vision
  • Provide general support (project and admin) to the regional team
